How to prepare for a virtual session?

As a moderator, chair, speaker, or host you will be invited to your personal dashboard. If you are using the same email address as for being an attendee, you can use the same account details to log in to this dashboard. On the dashboard, you will be able to access all the sessions or presentations and prepare for them.

Once you receive the invitation to access your dashboard, we advise exploring and testing the available features, especially the microphone and video. We advise preparing on the same computer and with the same internet connection as during the event. Different computer settings could change your experience, and this avoids the need for last-minute actions.

🌐 Get the best experience with Chrome or Microsoft Edge

We recommend using Chrome or Microsoft Edge for the most stable and consistent experience. And make sure you are using the latest browser version. The platform is not compatible with Internet Explorer. 

πŸ“Ά Use a fast internet connection

If the Wi-Fi connection is unstable, move closer to the router or check if a cable connection is available. If these options are not available consider a mobile hotspot connection.

πŸ” Turn off your VPN or Firewall

It is possible for a VPN or Firewall to block the streams. If your stream is not working, ensure that you have turned off your VPN if you have one. Some network administrators (IT departments, companies or universities) block all video and audio services in browsers by installing a Firewall. This can cause the Virtual Event Platform or its features (e.g. broadcast) not to be able to transmit video or audio data. This may impact you when you use the Virtual Event Platform over your company internet network, a company VPN, or a corporate laptop. For example, you are able to enter a virtual room but you cannot see or hear anyone, nor can they see or hear you.

πŸ’Ύ Save your login details

Ensure that your browser is set to remember your login password for easy login and have your password and email noted down somewhere. In case you need to restart your browser, you will be able to come back online promptly.

πŸ–₯️ Find a suitable workspace

Find a place with a neutral background and the least amount of distractions and background noises (washing machine, dishwasher, TV, etc).

🎧 Use a quality headset and a high-quality camera

Position your webcam at eye level and look into it as much as possible. Make sure that you are properly lit from the front, and not from behind. Test your microphone in advance and ensure that the microphone is positioned close to your mouth when speaking.

❌ Close all other applications and browser tabs on your computer.

We advise all tabs on your browser to be closed and only keep one dashboard window open. Close other video conferencing tools as these could interrupt your camera and microphone stream.  You should also close any other applications (make sure you quit them on Mac) so that your computer can run faster.

πŸ”” Turn off your notifications on your computer, phone or tablet.

Make sure to turn off notifications so that they don’t appear while you are speaking or listening to a presentation.

πŸ–₯️ Restart your computer

If your computer has not been turned off for some time, this can slow down the platform. We advise restarting your computer.
